Q: What can I expect from Esparza Speakers?
A: Whether you call or email Esparza Speakers, expect a prompt response from someone who understands your needs. We will seek to learn all we can about your requirements. We will ask you to tell us about your event, audience, budget constraints—and most importantly, how you will spell s-u-c-c-e-s-s for the program being planned and the speaker hired.

Q: What if I’m interested in a speaker who isn’t on the Esparza roster?
A: By all means, tell us who is on your wish list. First, we know lots of speakers. And thanks to great industry relationships, we can track down and secure speakers beyond our roster. Further, on those occasions when the desired speaker is unavailable or out of your price range, knowing your first choice will be helpful to us as we work to discover the best speaker for your event.

Q: Is there an advantage to working with a boutique bureau like Esparza Speakers in this day when bigger often means better?
A: There are times when bigger might be better . . . but not always, and not here. There are lots of advantages to a bureau like Esparza. First and foremost, you get the benefit of our extensive experience and first-hand knowledge. Secondly, as a smaller bureau we develop relationships and maintain communications with the speakers we represent (which can be difficult for a bureau with 1,000 speakers). We know the latest activities of our speakers and what they are planning, professionally, in the foreseeable future!

Q: When hiring a speaker, do I pay extra by using Esparza Speakers?
A: No, our fee is covered by the speaker.

BTW, you should know that we are willing and able to take on special projects or long-term assignments related to your speaker needs—fees related to such activities will always be discussed in advance of the work and separate from any speaker engagement.

Q: Typically, how are speaker fees determined?
A: Esparza Speakers does not set fees—speakers do. Various criteria impact the fees. Fame and popularity may determine what a speaker can command. The speaker’s availability and industry trends may also shape fees. And, finally, client needs (a breakout session versus half-day workshop), as well as location (a hotel only miles from the speaker’s home, versus a retreat destination cross-country) can certainly impact fees.

Q: Will I incur any other costs when I book a speaker?
A: Be sure to ask. Often, the speaker fee does not include their travel and lodging costs, which you will be expected to cover. These expenses typically include ground transportation and meals, but you should know that some speakers require first-class travel, so be sure to inquiry about needs and preferences. These days you may encounter a growing trend—speakers who set slightly higher fees that are inclusive of all travel costs (although the client will still be expected to handle local lodging). FYI, it is also wise to ask in the negotiation phase if the speaker requires any AV or technology that might cost the client.

Q: Why am I expected to pay a non-refundable deposit?
A: Once a speaker is booked, they are unavailable for other engagements. On the rare occasion when circumstances dictate a major program change or an event cancellation, a non-refundable deposit provides a speaker some compensation for any inconvenience and lost business.

Q: Will the speaker participate in other event-related activities with my audience?
A: Once again, ask. This is a decision that a speaker makes in light of other commitments, travel plans, etc. Many speakers appreciate being invited to receptions or dinner before their presentation since it might provide a good opportunity to gather last-minute “intel” on their audience.

Q: Am I responsible for arranging travel for the speaker?
A: This is negotiable, but most professional speakers prefer to coordinate their own travel arrangements. Unless other specific arrangements are made, however, you will be expected to make onsite reservations for the speaker’s lodging.

Q: Can I talk, personally, with the speaker before our event?
A: Absolutely! Our speakers want to talk to you, as they prepare for your event. In the unlikely event that a one-on-one dialogue is not possible between you and the speaker, Esparza Speakers pledges to do our best to ensure thorough and effective communications.

Q: Is there a contingency plan if the speaker is unable to fulfill their obligation?
A: Esparza Speakers shares your goal of a successful event, so we are “on call” to use our knowledge and relationships within the industry to help you in the event of emergencies or last-minute hurdles.

Q: Will the speaker autograph his books or memorabilia?
A: Typically, speakers are delighted to comply with these requests. But be sure to discuss plans early with the speaker since travel plans and such can impact the time that is available for these additional activities.

Q: Can I record or videotape the presentation?
A: Unless you have asked in advance and secured written permission from the speaker to do so, please do not plan to record your speaker.
